For more than ten years, we have been developing contract management solutions that are consistently tailored to our customers’ day-to-day work. Our goal is not just to satisfy our customers, but to delight them. Every new development in proCONTRACTS begins with a simple question: What makes our customers’ day-to-day work easier? Our goal is not to increase complexity, but to deliver greater value: clear processes, intuitive operation, and features that deliver tangible time and cost savings.
With proCONTRACTS Version 11, we are continuing to pursue this approach. The new version includes numerous improvements. Many of these new features are based directly on user feedback and help make contract management even more efficient, transparent, and straightforward.

Complex contractual relationships can quickly become confusing, especially when framework agreements, individual contracts or other related subcontracts are linked together. The visual contract hierarchy provides clarity in these situations. Users can immediately see which contracts are linked, what dependencies exist, and how a contract fits into the overall context.
This makes it easier to navigate the system, reduces the time spent searching, and supports informed decision-making in contract management. Parent-child structures are clearly displayed and can be expanded or collapsed as needed. This makes it easy to quickly see where a single contract fits within the overall contract structure.
Benefit: A clear overview of complex contractual relationships and quick orientation within the broader context
Everyone works differently. That’s why reminders can now be better tailored to your personal work style. If you like to plan ahead, you’ll receive an email in plenty of time. If you prefer to work in the dashboard, you can continue to keep track of everything there. Or do both. This reduces the risk of missing deadlines and provides greater peace of mind in your day-to-day contract management.
Users can choose whether and how far in advance they want to be notified by email about expiring contracts or automatic renewals: 1 month, 2 months, 3 months, or 6 months in advance. The notifications in the dashboard will remain in place. This new feature also complements the personal deadline tracking tool.
Benefit: Greater control over deadlines without adding complexity

Notifications in approval and signature workflows can now be configured with even greater precision. Depending on the workflow, you can define different recipients, templates, and message types.
Approval processes are often complex: different people need different information. proCONTRACTS 11 makes this communication more flexible and transparent. Teams can decide whether recipients should receive a group message or be notified individually. This makes processes more traceable, more personalized, and easier to manage.
Benefits: Fewer follow-up questions, clearer communication, and better process control
Approval processes become more transparent. Participants can see who has already approved, where comments or conditions have been added, and what stage the process is at. This reduces the effort required for coordination and helps identify bottlenecks earlier. We have expanded this feature: Notifications can now be triggered not only at the end of a process, but also for each individual approval step. You can specify a precise sender, select the appropriate template, and designate the relevant recipients. This allows for more precise coordination of information during the approval process in the event of success or an error.
Benefits: Approval processes become more transparent, traceable, and easier to manage.

Many companies work with custom deadlines, due dates, or internal milestones. If these date fields can be used in the approval process, workflows will better align with actual business processes.
proCONTRACTS 11 therefore supports custom date fields in approval processes. This allows companies to include their own relevant date information in approvals.
Benefit: Greater flexibility for customized contract processes
Not all approvals are the same. By using customized message texts, companies can explain more clearly what the approval is about, what needs to be done, and what requires special attention. This improves clarity and ensures smoother processes.
In approval workflows, custom message content can be defined for individual steps. This allows information to be tailored more precisely to each specific step in the process.
Benefit: Greater relevance in every message

Approval requests can only be decided upon if sufficient information is provided. If the contract or key attachments are included directly in the request, approvers can review and make decisions more quickly. This speeds up the process and makes it easier to track progress, even outside the application.
That is why relevant documents can now be included directly with requests. This ensures that decision-makers have the necessary contract documents immediately at their fingertips and do not have to search for them separately. Important decisions can be made right away. A specific sender can be designated, the appropriate template selected, and the relevant recipients identified. This allows for more precise coordination of information during the approval process, whether the outcome is successful or not.
Benefits: More context in the request and faster decisions throughout the process
The new Canvas app provides a modern environment for signing standard contracts directly on mobile devices. It is particularly well-suited for simple, quick, and standardized signing scenarios.
Contract signing is becoming more mobile and immediate. Whether on-site, during a meeting, or on the go, standard contracts can be signed directly on a tablet or smartphone. This streamlines the process and makes it easier for both users and contracting parties.
Benefit: A faster process without any disruption

When you need to create a large number of similar contracts, bulk contract generation saves a tremendous amount of time. Instead of preparing contracts one by one, you simply select the contracting parties, and the contracts are generated automatically. This is ideal, for example, for standardized agreements, new contract terms, or recurring documents for many customers.
With the new app for creating bulk contracts, standardized contracts can be generated for multiple customers at the same time. This requires a common contract type that is suitable for full automation and contains all necessary variables. This allows a large number of standardized contracts to be generated without any additional effort.
Benefit: Maximum efficiency in standardized contract processes
For inquiries, you can specify whether emails are sent by the system, the responsible employee, or the owner, among others. This allows messages to appear as if they were sent by the appropriate person.
A clear sender improves the clarity and acceptance of process-related emails. Recipients can more quickly identify who is responsible for the matter and better understand the context of inquiries. This makes communication more personal and reduces uncertainty.
Benefit: Greater trust in automated communication

Cross-environment distribution of contract types allows you to clone complex contract types from one environment and transfer them to another, such as from development to test, staging, or production. This eliminates the need to create them manually.
What used to take days to complete is now much easier. Administrators save time, reduce the risk of errors, and can deploy new or customized contract types more quickly. This approach significantly reduces the configuration effort required, especially for complex contract types.
Benefits: Ideal for teams that want to test thoroughly, roll out updates securely, and manage configurations efficiently, while reducing manual work by up to 90%.
The Agreement Portal now supports six languages: German, English, Spanish, French, Italian, and Japanese. This allows customers to sign contracts in a familiar language environment. International contract processes become more user-friendly. When contracting parties are guided through the signing process in their preferred language, misunderstandings are reduced and the process becomes easier to navigate. This improves the experience for customers, partners, and international teams.
Benefit: Better integration for international contractual partners

proCONTRACTS 11 enables fully automated contract digitization as an end-to-end process, without the need to create a contract beforehand. This includes data extraction, obligation extraction, clause extraction, and compliance checks.
Contracts contain a wealth of important information that often has to be laboriously entered by hand. AI-powered digitization helps automatically identify relevant data, obligations, clauses, and compliance issues. This makes contracts more readily available, easier to analyze, and simpler to integrate into existing processes.
Benefits: Less manual work and more usable contract data
proCONTRACTS 11 is all about contract management tailored to real-world needs. Its new features help companies streamline processes, better manage deadlines, make communication more targeted, and make contract information more accessible. The result: less manual work, greater transparency, and a contract management system that makes day-to-day operations easier rather than more burdensome.
